- Contact form submissions: name, company name, email address, phone number, and message content when you use our website contact form
- Email correspondence: your name, email address, and the content of your message when you email us at hello@hypertree.com.hk
- WhatsApp enquiries: your phone number and message content when you contact us via WhatsApp
- Business card details: name, title, company, and contact information exchanged during meetings or events
Information collected automatically
- Server logs: your IP address, browser type, operating system, referring URL, pages visited, and timestamps — collected automatically by our hosting provider (Netlify) for security and performance purposes
- Cookies: we do not use tracking cookies, analytics cookies, or advertising pixels on this website. No third-party tracking scripts (such as Google Analytics, Meta Pixel, or similar) are installed.
2. How We Use Your Data
In accordance with Data Protection Principle 1 (DPP1) and Data Protection Principle 3 (DPP3) of the PDPO, we use your personal data only for the purposes for which it was collected, or for directly related purposes:
- To respond to your enquiries and requests submitted through our contact form, email, or WhatsApp
- To prepare and deliver marketing proposals, media plans, and campaign recommendations you have requested
- To communicate with you about ongoing projects and service delivery
- To send you information about our services — only where you have given us your consent, or where you are an existing client and the communication relates to similar services
- To comply with legal obligations applicable to our business in Hong Kong
3. Direct Marketing
We will not use your personal data for direct marketing purposes without your consent. If we intend to use your data for marketing, we will:
- Inform you of our intention and the types of marketing content involved
- Provide you with a clear and free-of-charge channel to communicate your consent or refusal
- Not proceed unless you have given explicit consent

4. Data Sharing
We do not sell, rent, or trade your personal data to any third party.

- Service providers: our contact form is processed through FormSubmit.co, which receives form data for the sole purpose of delivering it to us via email. FormSubmit does not store your data after delivery.
- Hosting provider: our website is hosted on Netlify, which processes server log data as part of routine hosting operations
- Legal obligation: where we are required to disclose data by law, regulation, or court order in Hong Kong
We do not transfer your personal data to any third party for their own direct marketing purposes. If we ever intend to do so, we will obtain your written consent in advance, as required by the PDPO.
5. Data Retention
In accordance with Data Protection Principle 2 (DPP2), we retain your personal data only for as long as is necessary to fulfil the purpose for which it was collected:
- Enquiry data: retained for up to 24 months after the last communication, then securely deleted
- Client project data: retained for the duration of the engagement and up to 36 months after project completion for reference and follow-up, then securely deleted
- Server logs: retained by our hosting provider in accordance with their retention policy (typically 30 days)
6. Data Security
In accordance with Data Protection Principle 4 (DPP4), we implement reasonable security measures to protect your personal data from unauthorised access, accidental loss, or misuse. These measures include:
- HTTPS encryption (TLS) for all data transmitted between your browser and our website
- Access to personal data restricted to authorised Hypertree personnel only
- Secure email communications for handling enquiries and proposals
While we take reasonable steps to protect your data, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security.
7. Your Rights
Under the PDPO (Data Protection Principle 6, DPP6), you have the right to:
- Access: request a copy of the personal data we hold about you
- Correction: request correction of any inaccurate personal data we hold about you
- Opt out: withdraw your consent for direct marketing at any time

We may charge a reasonable fee for processing data access requests, as permitted under the PDPO.
